Conditions of Hiring School Premises
BOOKING CONDITIONS
- All letting fees shall be paid on time by the Hirer. Hirers Failing to pay invoices on time will have an additional administration fee of £5 added to their invoice.
- Specific bookings may be made for single lettings or for repetitive lettings.
- Provisional bookings may be cancelled by the Hirer at any time, but specific bookings cannot be cancelled unless 14 days prior notice has been given by the Hirer; where this notice has been given, the fee relating to the cancelled booking may be refunded by the school.
- Where the school is obliged to cancel a specific booking for any reason other than at the Hirer’s instigation, the fee relating to the booking will be refunded.
USE OF PREMISES
- School equipment other than that specified at the time of the letting shall not be used.
- School furniture shall not be moved by the Hirer except by arrangement with the FDO/ Site Manager/Caretaker.
- Nails, tacks, screws, etc. shall not be driven into, or adhesives fixed to walls, floors, ceilings, furniture or fittings and no decoration of any kind shall be put up.
- Footwear likely to damage the floors is not to be worn.
- Litter and property belonging to the Hirer or his agents is to be removed by the Hirer at the end of the period of hire.
- Alterations to lighting or heating systems are forbidden.
COPYRIGHT
- The Hirer or his agents shall not infringe any copyright, or performing rights and undertakes to indemnify the School against costs for any infringement.
CHARGES FOR SPORTING USE
- The Hirer is reminded that the charges for Sporting Use relate to facilities available and at the standards provided for pupils.
- If a Hirer should require facilities of a higher standard, then the Hirer will be responsible for the additional costs incurred by the school in meeting the special demands.
FIRE SAFETY
- The Hirer is reminded of the need to observe Fire Safety.
DAMAGE TO PROPERTY
- The Hirer undertakes to make good any damage to the property of the school caused by the neglect or default of the Hirer or organisation of his or their agents.
LIABILITY OF HIRER
- The School shall not be liable for any injury (including injury resulting in death) or damage to or loss of property, which shall or may occur to, or be sustained by the Hirer, his assistants, servants or agents, or others entering the property in the exercise or purported exercise of the hiring (except such injury or damage as may occur by reason of the neglect of the school).
- The Hirer will indemnify and keep indemnified the school, its servants and agents, from and against all clais and liabilities in respect of such injury or damage and all actions, proceedings, costs, damages and expenses in regard thereto and also from and against all other liability, claims, demands, proceedings, costs, damages and expenses in respect of injury to person whomsoever (including injury resulting in death) and damage to or loss of property whatsoever which may arise from, or in the consequence of, the exercise or purported exercise of the hiring. (Please see NOTE ‘A’ concerning insurance).
- Hirers using the school for work with Youth Groups must provide the school with any relevant safeguarding documentation. (CRB check etc)
OTHER CONDITIONS
- Other conditions that pertain to the Hire of the All Weather Pitch as per the separate Code of Practice for Users.
NOTE ‘A’:
In the particular case of damage to the school’s property being caused, the school’s insurers will deal with the case and may have a legal right of recovery from the Hirer. In view of the potential liabilities in respect of damage to school property, however caused, and the other liabilities referred to in Conditions 6 and 7, Hirers must have Public Liability Insurance cover to the sum of One Million Pounds. Should Hirers not have this insurance, the school can arrange for cover to be provided, at the expense of the Hirer.

Code of Practice for Users of the Sports Facilities
Hiring Procedure
- The control of the hire of the Sports Facilities outside the normal school day and during school holidays, is the responsibility of the Sports Facilities Co-ordinator.
- All bookings/enquiries should be made by contacting the Sports Facilities Co-ordinator, telephone number – 01493 660623, e-mail This email address is being protected from spambots. You need JavaScript enabled to view it.
- The User must complete a 'booking form' before the Facility can be used - this will ensure that insurance requirements are covered.
- The completed form should be returned to the Sports Facilities Co-ordinator for confirmation of availability or otherwise.
- Unless an agreement has been obtained, hirers will pay all invoices within 14 days. If a reminder has to be sent regarding late payment an additional administration fee of £5 will be charged to the hirer.
- Wherever reasonably possible, the claim of parties engaged in activities having direct impact on the education of pupils in the statutory age range 11-16 years should have precedence over lettings to other bodies/organisations.
- Hirers who fail to pay charges on time should not be permitted to hire the premises on future occasions.
- Charges for hiring the Sports Facilities will include the use of changing rooms, showers and toilet facilities.
General User information:
- All User Groups will have a named person responsible for the conduct and safety of their group, including access to a mobile phone, and this person must be named on the hiring form.
- Hirers are responsible for their own first aid administration, therefore will need to bring their own first aid kit.
- There will be a contactable member of school staff on site at all times in case of emergency.
- Hirers should note that the All Weather Pitch floodlighting is on a timer and will automatically switch off at 21.30 hours Monday to Thursday, 21.00 hours on a Friday and 20.00 hours on a Saturday and Sunday plus Bank Holidays. (Should the lights not switch off then the member of school staff on site will notify the school’s emergency electrician).
- The school car park will be open for use by the hiring group – access to which is from Lynn Grove.
- Hirers of the school should note that CC TV is in operation on all areas of the school site.
- Hirers must note that they are restricted to the areas of Hire, i.e. Football Pitch and Changing Facilities.
- The only beverages permitted to be taken onto the AWP are water and non carbonated. Fizzy drinks are not permitted. Smoking and Eating are not permitted anywhere within the AWP, sports field or the Changing Rooms.
- Consideration for neighbours must be paramount at all times.
- Boots with metal studs or metal tipped blades are not permitted on the AWP, or in the changing rooms.
- All school staff are to be treated with respect and have the right to remove any person from the site if they deem necessary.
- The school can ban any person from the site.

Lynn Grove Sports Facilities
Lynn Grove High School aims to provide multi-purpose sports facilities to the whole community. Our facilities enable the community to participate in many activities promoting healthy lifestyles and well being.
We have fantastic facilities available for use during the evenings, at weekends and throughout school holidays. Block bookings and one off bookings are all accepted.
Lynn Grove High School is delighted to offer sports facilities for hire to local clubs and organizations, and groups of friends who want to be more active. The facilities are open to the general public all year round and provide a base for numerous sporting clubs and groups.
Adult and Youth football clubs, Norfolk County Football Association, Norwich City FC Community Sports Foundation, Active Norfolk, Norfolk United Netball Club, Zumba Fitness, Dale Gordon’s Soccer Academy, Great Yarmouth & Waveney Health Trusts ‘Active X’ and Great Yarmouth Cricket Club all use our facilities.
Training / Seminar Facility
The school also has a specific room which is used for training purposes. The training room is equipped with a pc/data projector and screen, flipchart and pens. This resource is used by Active Norfolk and Norfolk County FA for coaching courses and workshops.
Sports Hall
The sports hall was built in 2005 and has a hard tiled floor. Many sports are accommodated within the hall with markings for badminton (4 courts), basketball, netball, tennis and volleyball all included. Cricket nets are also available for use. Bookings are by the hour.
All Weather Pitch
A 3rd Generation Full sized football pitch was opened in 2008; this excellent facility is used by many teams for training and matches. The whole pitch is available for matches and training, or you can use a third of it. Mini soccer goals are provided when using a third of the pitch, full size goals provided for full pitch use. All goals are on wheels making them movable by the hirer. Bookings, other than for matches, are by the hour.
Sports Field
The field is made available for adult and youth football clubs. Gorleston Rangers Youth FC, Bohemians FC and Peelers FC have used the football pitches as their home venue. The field can be utilized for many activities.
The new dining room is now open giving access to a range of catering options. For more details contact the school.
