Hiring Procedure

  1. The control of the hire of the Sports Facilities outside the normal school day and during school holidays, is the responsibility of the Sports Facilities Co-ordinator.
  2. All bookings/enquiries should be made by contacting the Sports Facilities Co-ordinator, telephone number – 01493 660623, e-mail  This e-mail address is being protected from spambots. You need JavaScript enabled to view it
  3. The User must complete a 'booking form' before the Facility can be used - this will ensure that insurance requirements are covered.
  4. The completed form should be returned to the Sports Facilities Co-ordinator for confirmation of availability or otherwise.
  5. Unless an agreement has been obtained, hirers will pay all invoices within 14 days. If a reminder has to be sent regarding late payment an additional administration fee of £5 will be charged to the hirer.
  6. Wherever reasonably possible, the claim of parties engaged in activities having direct impact on the education of pupils in the statutory age range 11-16 years should have precedence over lettings to other bodies/organisations.
  7. Hirers who fail to pay charges on time should not be permitted to hire the premises on future occasions.
  8. Charges for hiring the Sports Facilities will include the use of changing rooms, showers and toilet facilities.

General User information:

  1. All User Groups will have a named person responsible for the conduct and safety of their group, including access to a mobile phone, and this person must be named on the hiring form.
  2. Hirers are responsible for their own first aid administration, therefore will need to bring their own first aid kit.
  3. There will be a contactable member of school staff on site at all times in case of emergency.
  4. Hirers should note that the All Weather Pitch floodlighting is on a timer and will automatically switch off at 21.30 hours Monday to Thursday, 21.00 hours on a Friday and 20.00 hours on a Saturday and Sunday plus Bank Holidays.  (Should the lights not switch off then the member of school staff on site will notify the school’s emergency electrician).
  5. The school car park will be open for use by the hiring group – access to which is from Lynn Grove.
  6. Hirers of the school should note that CC TV is in operation on all areas of the school site.
  7. Hirers must note that they are restricted to the areas of Hire, i.e. Football Pitch and Changing Facilities.
  8. The only beverages permitted to be taken onto the AWP are water and non carbonated. Fizzy drinks are not permitted. Smoking and Eating are not permitted anywhere within the AWP, sports field or the Changing Rooms.
  9. Consideration for neighbours must be paramount at all times.
  10. Boots with metal studs or metal tipped blades are not permitted on the AWP, or in the changing rooms.
  11. All school staff are to be treated with respect and have the right to remove any person from the site if they deem necessary.
  12. The school can ban any person from the site.
